How We're Different
Microsoft 365
You're probably familiar with Microsoft 365 which includes desktop applications such as Word, Excel, PowerPoint and Outlook. You might also be using OneDrive as part of your subscription. However, with Microsoft 365 for Business there is more, a lot more. Carry on reading to learn more.
You might already have a Microsoft 365 Personal or Family subscription. And that is fine and doesn't need to change. With Microsoft 365 for Business you get additional features such as Exchange Online for emails and SharePoint for shared document folders.
If you have an email address linked to a domain such as jon@mygreatbusiness.co.uk then moving the underlying email system to Microsoft 365 Exchange Online will give you better email reliability, synchronised calendars and contacts across your computers, phone and iPad.
If you are working in a small team and need to share documents then creating a SharePoint site will enable you to share your files easily as well as have them backed up in the cloud.
Even if you run a Mac you can take full advantage of Microsoft 365 services. All the apps such as Word and Excel and Outlook can be installed on your Mac. Teams is also available as well as being able to open documents in SharePoint.

THE SELF-EMPLOYED PROFESSIONAL
WHAT WE FIND
When self-employed professionals contact us they usually have a setup that just about works for their needs but need help with the professional email addresses and backing up.
They are often using a laptop which doubles up as their personal laptop for online shopping, storing photos and dealing with personal emails. They also use it for business emails and storing business related documents. They maybe using a Hotmail or Gmail for their email with an address something like jontheplumber@hotmail.com or jbraccountants@gmail.com
All their files are scattered everywhere and they find it hard to find important documents. Furthermore they aren't backing up, even though they know they should.
OUR SOLUTION
In these situations we recommend getting a professional email address with Microsoft Exchange Online. This way they can have an email address which looks more professional - eg. info@jbraccountants.co.uk or hello@jontheplumber.co.uk.
With a professional email address they also get calendar and contacts. If they put appointments into their Outlook calendar on their computer they will be able to see them on their iPhone, and vice versa. Those contacts in Outlook will also be available on their phone which makes it easy to call someone when out and about and not in the office.
We setup OneDrive to store and backup all their business files and personal files. A bit of reorganising is usually required so they can find things quickly and easily.

WHAT WE FIND
When small businesses, usually with a team of 2-5 people, contact us they often have a fairly decent setup but feel things could work a lot better. Inefficiency and poor productivity is often a main reason for calling us.
They often have a domain based emails, eg info@jbraccountants.co.uk but it is an IMAP email system which was setup by the same person who built their website. It seems to work but they keep getting warnings about mailbox size too big. There's also no ability for team members to view their calendars or contact details on their phone when they are out visiting clients.
All important files are often only on one PC which makes it difficult if someone in the office needs access to the files. Backup is often ad-hoc
OUR SOLUTION
In these situations we recommend migrating the email system to Microsoft Exchange Online. They get a large 50GB mailbox and synchronised calendars and contacts which they really love.
We put all shared documents in a SharePoint folder which can be accessed from any PC in the office. We also setup OneDrive so users can store personal files related to their work in the cloud.
